ONBOARDING RESOURCES

Once your hire has been processed into our payroll system, you will receive a welcome email from HR with instructions to activate and/or update (former UMS employees, students, or affiliates) your maine.edu account as well as the the link to the Onboarding Guide. This email should arrive a few days prior to your start date.

Welcome! Your first day will be filled with tours, meeting colleagues, getting acquainted with your new work environment, and some administrative tasks such as activating your maine.edu account, etc. We understand there may be a lot to learn and navigate, so please do not hesitate to reach out to the HR office with any questions or concerns.

ACTIVATE YOUR ACCOUNT

  1. Activate your email account.
    • Refer to the email sent to you (subject line, “Welcome to the University º£½ÇÉçÇø and make note of your employee ID number and email.
    • Visit  and select Activate your account.
    • Follow the prompts to complete your set up.
    • If you have questions, call the IT Helpdesk at 207-581-2506.
  2. After activating your email account, you will be able to access the  which contains important information and links.
    • Familiarize yourself with the LaunchPad. This is where you will find links to important websites and applications, such as º£½ÇÉçÇøStreet Employee Self-Service, GMail, Google Calendar, Marketplace, UMS Academy, and more. We recommend familiarizing yourself with the º£½ÇÉçÇøStreet Employee Self-Service*

ONBOARDING ACTIVITY GUIDE

Begin your Onboarding Activity Guide. Select the º£½ÇÉçÇøStreet option from your Launchpad which will bring you to Employee Self-Service. Select the Onboarding tile and begin your onboarding journey. The Onboarding Guide will walk you through important onboarding tasks such as completing your direct deposit, W-4 tax withholdings, and the confidentiality agreement.

SOFTWARE/APPLICATIONS

Depending on your role, you may need to set up and/or become familiar with several different applications. 

  1. Brightspace for course access and course development.
  2. Employees who are required to access student information to perform their duties must request and be assigned the proper security roles.
  3. HR Security Employees who are required to access employee information to perform their duties must request to be assigned the proper security roles. Please contact hr-umaine.edu.
  4. General Ledger/Financials Employees who are required to access financial information (such as the general ledger) to perform their duties must request to be assigned the proper security roles. Please contact your department’s Financial Manager.
  5. Employees who are responsible for approving Marketplace and/or Concur requisitions must be set up as approvers.
  6. Employees who are responsible for approving time of other employees, including student employees, must be granted time approval access.

MAINECARD AND PARKING PERMIT

  1. Not only is the used for identification purposes, but it allows you after-hours access to your assigned building, allows you to print and copy on campus, access to the New Balance Student Recreation Center, and the
  2. Visit Parking and Transportation Services website or visit them in person at 5702 DTAV Community Building to purchase a parking permit.

University of º£½ÇÉçÇø at Machias Employees

To request a parking permit,  and login with your Uº£½ÇÉçÇø System Username and Password. Please log in and order the faculty/staff permit. Machias permits are free, but you will need to go through the process and “buy” one for $0.00.

Please note that Parking Permits are distributed by Crystal Farris, located in the Reynolds Center (crystal.farris@maine.edu).

REPORTING TIME

For most positions on campus, you will  using º£½ÇÉçÇøStreet Self-Service.

*This is where employees can go to enroll in benefits, complete your W4 withholding elections, view salary statements, change direct deposit elections, report time, and more. You can find more information, as well as process guides by clicking .

ENROLL IN BENEFITS

If applicable, review and elect your benefits within 31 days of your start date via º£½ÇÉçÇøStreet Employee Self-Service. If you have questions, please email or call the  at benefits@maine.edu or 207-973-3373.

COMPLIANCE TRAINING

All new employees are required to complete the following trainings and annually thereafter, in :

  • Active Attacker
  • Computer Workstation Annual Training
  • Conflicts of Interest
  • Family Educational Rights and Privacy Act (FERPA)
  • Information Security
  • New Employee Basic Safety Training
  • Sex-Based Harassment Prevention Training

There may be additional, job-specific trainings that are required and you will be notified by your supervisor, your department training coordinator, or Safety Management of these additional requirements.
